Project budget reporting

Know which projects have room—and which need attention

Compare each project's hour budget with planned work to date, work planned ahead and the remaining hours. Progress bars make a projected overrun visible before the work is complete.

Internal work can carry a zero rate: it still consumes planned capacity without inflating expected revenue.

Team workload reporting

Understand who is carrying the plan

Review planned hours for every person across the year, then expand a member to see the projects creating that workload. This makes staffing conversations specific instead of relying on portfolio totals alone.

From schedule to forecast

A reporting workflow connected to the plan

Resource Planner calculates the view from information your delivery team already maintains, so reporting changes when the schedule changes.

  1. Step 1

    Plan the work

Schedule people on projects across their working days and record time off in the same workspace.

  2. Step 2

    Set budgets and rates

Add a project hour budget and hourly rate, with optional person-specific rate overrides.

  3. Step 3

    Review the outlook

Compare hours, expected revenue, budget progress, project mix and team workload for the year.

  4. Step 4

    Adjust the plan

Move assignments, rebalance staffing or revisit scope, then return to an updated forecast.

A forecast, not an invoice

Understand exactly what the numbers mean

This is a resource-driven forecast: it translates scheduled delivery work into a forward-looking operational and commercial view.

  • Planned hours respect each person's working days and exclude recorded time off.
  • Expected revenue uses the applicable person-specific rate when present, otherwise the project rate.
  • Expected revenue is not invoiced, collected or accounting-recognized revenue; finance should reconcile it with commercial and accounting records.

Frequently asked questions

Resource forecasting and reporting, explained

Clear answers about the calculations, report detail and limits of a schedule-based forecast.

What is resource forecasting?

Resource forecasting uses the current project schedule to estimate future workload, staffing demand and—in a rate-based model—expected revenue. It connects the people available to the work the business expects to deliver.

How does Resource Planner calculate expected revenue?

For each scheduled working day, Resource Planner multiplies planned hours by the applicable hourly rate. A person-specific project rate overrides the project's default rate when one is configured.

Does time off affect the forecast?

Yes. Recorded Time Off assignments and days outside a person's configured working week are excluded from the planned hours and expected revenue calculation.

Can I report by project and by team member?

Yes. The forecast includes a portfolio chart, project budget progress, a project-by-month breakdown and a person-by-month workload table with expandable project detail.

What do planned to date and planned ahead mean?

Planned to date is scheduled work before today. Planned ahead is scheduled work from today onward. Both describe the resource plan rather than completed time entries.

Is expected revenue the same as invoiced revenue?

No. It is a planning forecast derived from scheduled hours and rates. It does not represent invoices, cash collected or revenue recognized under accounting rules.

Who can see financial forecasts?

Workspace administrators can see financial information. Managers can see it only when that permission is enabled; members and customer roles do not receive financial access.
